Terms of Use

These Terms of Use (“Terms”) govern access to and use of GastFlo, the event registration and accreditation platform at gastflo.com operated by Mavenzone (“we”, “us”, or “our”). By accessing the website, requesting access, creating an account, or using the service, you agree to these Terms. If you use the service on behalf of an organisation, you represent that you have authority to bind that organisation.

A separate written agreement with Mavenzone may apply to your organisation. If so, that agreement prevails over these Terms to the extent of any conflict.

GastFlo provides tools for event organisers to register delegates, manage accreditation, design and print badges, check in attendees, assign seating, and produce operational reports. Features available to your organisation depend on your configuration and commercial arrangement.

The service is offered primarily as a managed business platform. Self-service sign-up is not available; access is granted by invitation or after an approved access request.

• You must provide accurate account information and keep credentials confidential.
• You are responsible for all activity under your account and for ensuring that users you invite comply with these Terms.
• Roles in the portal (for example owner, admin, operator) determine what actions a user may perform. Assign roles carefully.
• We may suspend or revoke access if we reasonably believe these Terms are breached, fees are unpaid where applicable, or continued access poses a security or legal risk.
• Mavenzone support staff may access your organisation's data only through audited support mechanisms — not through unrestricted back-door access.

If you are a client organisation using GastFlo for an event, you agree that:

• You are the Data Controller for attendee and event operational data. You determine what personal information to collect and must have a lawful basis to do so.
• You will provide attendees with appropriate privacy information (including your identity and purposes) as required by applicable law, which may be in addition to our Privacy Policy.
• You will configure retention periods appropriately and honour data subject requests for attendee data you control.
• You will not use the service to collect special personal information (as defined under POPIA) unless you have a valid legal basis and appropriate safeguards.
• You are responsible for on-site operations, including local print agents, printers, and check-in stations under your control.
• You will not publish an event or open registration until required setup (including retention configuration) is complete.

You must not:

• Use the service for unlawful, fraudulent, or harmful purposes.
• Attempt to bypass security, access another organisation's data, or probe or scan the platform without authorisation.
• Upload malware, interfere with service availability, or overload infrastructure (including circumventing rate limits).
• Misrepresent your identity or affiliation when registering for events or requesting access.
• Use attendee data for unsolicited marketing unless you have a lawful basis and comply with applicable direct-marketing rules.
• Reverse engineer the service except where applicable law expressly permits it.

We may investigate violations and cooperate with law enforcement where required.

Public registration pages are operated on behalf of the event organiser. By registering for an event, you submit information to the organiser. Your relationship regarding that data is primarily with the organiser; see our Privacy Policy for how Mavenzone processes data as a service provider.

Organisers may set registration rules (required fields, delegate types, capacity limits). We do not guarantee admission to an event — admission is determined by the organiser.

• Mavenzone and its licensors own the platform, software, documentation, and branding for GastFlo. These Terms do not transfer ownership to you.
• You retain ownership of content you upload (for example event branding, badge designs, delegate lists). You grant us a limited licence to host, process, and display that content solely to provide the service.
• Feedback you provide may be used to improve the service without obligation to you.

We aim for reliable operation but do not guarantee uninterrupted or error-free service. Maintenance, upgrades, third-party outages, or events beyond our reasonable control may cause downtime.

We may modify features, impose reasonable usage limits, or discontinue parts of the service. For material changes affecting paid clients, we will use reasonable notice where practicable under your commercial agreement.

To the fullest extent permitted by law, the service is provided “as is” and “as available”. We disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement.

We do not warrant that check-in credentials, badge prints, or third-party hardware (printers, networks, scanners) will function without error. You are responsible for testing before live events.

To the fullest extent permitted by applicable law, neither Mavenzone nor its directors, employees, or suppliers shall be liable for any indirect, incidental, special, consequential, or punitive damages, or for loss of profits, revenue, data, or goodwill, arising from or related to the service or these Terms.

Our aggregate liability for all claims arising from or related to the service in any twelve-month period is limited to the greater of (a) the fees you paid us for the service in that period, or (b) ZAR 10,000, except where liability cannot be limited by law (including liability for death or personal injury caused by negligence, or fraud).

If you are a client organisation, you will indemnify and hold harmless Mavenzone against claims, losses, and expenses (including reasonable legal fees) arising from your breach of these Terms, your violation of law, your attendee data practices, or content you upload — except to the extent caused by our gross negligence or wilful misconduct.

You may stop using the service at any time. We may suspend or terminate access for breach, non-payment where applicable, or if we discontinue the service. Provisions that by nature should survive (including intellectual property, disclaimers, limitation of liability, indemnity, and governing law) survive termination.

On termination, we will handle data in accordance with our Privacy Policy, your commercial agreement, and applicable law (including retention and anonymisation processes).

These Terms are governed by the laws of the Republic of South Africa. You agree to the exclusive jurisdiction of the courts of South Africa, unless mandatory law in your country requires otherwise for consumers.

We may update these Terms from time to time. The “Last updated” date at the top will change when we do. Continued use after changes take effect constitutes acceptance where permitted by law. If you do not agree, you must stop using the service.
